    Position: Proposal Coordinator
     

    Nature of Role: The ability to meet deadlines, detailed follow-through, and a consistent attention to detail are key factors to success in this Proposal Coordinator role to ensure the quality and compliance of all final proposal documents.
     

    Responsibilities:
    • Independently monitor BD tools (GovWin, GSA eBuy, and Sam.Gov) for releases of opportunities in pipeline and to update information in the pipeline
    • Facilitate / Lead organizing and update of BD Team electronic folders; ensuring accuracy and up-to-date information for intuitive navigation in compliance with corporate and directorate content architecture guidelines
    • Work with BD director and BD team to develop, codify, and ensure disciplined proposal processes. Develop correlating products that facilitate the use of the disciplined proposal processes, to include instructions, templates, checklists, and other products as deemed necessary/appropriate
    • Work with BD director and BD team to ensure standardized documentation processes
    • Receive and review Requests for Information (RFIs), Requests for Proposals (RFPs), and Requests for Quotes (RFQs), and other variations of calls for bids. Aggregate information and data from RFIs, RFPs and RFQs solicitation instructions to develop and distribute capability matrices, compliance matrices, compliant proposal outlines, proposal templates, gate reviews and other related business development and proposal products
    • Work with assigned capture manager/program manager to develop and distribute opportunity checklist with list of assignments (Contracts, HR, Finance, etc.)
    • Collect and organize questions in accordance with solicitation instructions and suspenses for review by team members and submission
    • Independently build proposal templates with outlines that facilitate/ensure compliance with solicitation instructions and evaluation criteria. Prompt for/request Volume Leads, Volume Writers, Color Team Reviewers and request/coordinate/develop graphics to support proposal development
    • Develop Proposal Kick Off slides (use slides as needed from gate reviews) that include opportunity summary, relevant solicitation instructions and evaluation criteria, win themes, ghosting, strategy, staffing, etc.
    • Schedule and facilitate color review inbriefs and outbriefs using proposal kick-off slides that include relevant solicitation instructions and evaluation criteria, win themes, ghosting, strategy, and are updated for each color review based on color team objectives
    • Ensure compliance throughout proposal cycle and at each color team review
    • Adhere to company processes, electronic file structure and ensure version control and complete final formatting of proposal
    • Facilitate and ensure on-time submission of proposal Schedule “Hot Wash” for Lessons Learned/After Action Report (AAR) after each proposal submission
    • Demonstrate adaptability to meet demanding timelines
    • Support progress towards the goals of the Business Development team
     

    Requirements:
    • Bachelor of Arts or Sciences degree preferred
    • Minimum of 5 years of Project Coordination or other relevant experience
    • Strong verbal and written communication skills
    • Exceptional organization skills and attention to detail
    • Proficiency in MS Office Suite, including Word, PowerPoint, Excel, Outlook, and SharePoint
    • Training and experience in managing proposals using the Shipley method to respond to federal and Department of Defense (DOD) RFIs/RFQs/RFPs
